Practical guidance

Start with the essentials.

Short answers for keeping everyday records clear and consistent.

Use one reliable accounting path

Work in this order: Accounts → Transactions → Payments → Reports. Accounts show where money is held, transactions record actual movement, payments plan commitments, and reports explain posted results.

Set an opening balance correctly

An opening balance is money that already existed when you started San Balance. Enter it once on the correct account; it is not new income and is shown separately from operating income.

Use transfers between your accounts

A transfer moves money from one of your accounts to another. It changes both account balances but is excluded from income and expense totals, so do not record it as income plus expense.

Plan one-time and recurring payments

Create a one-time plan for one bill or a recurring plan for subscriptions, rent, instalments and custom cycles. A plan and its open occurrences are forecasts and do not reduce an account yet.

Track payments and linked debt

Mark an occurrence paid only after money actually leaves the selected account. San Balance then posts the outflow and updates any linked debt from paid occurrences; Undo paid voids that posted transaction.

Read reports in the right scope

Reports use posted records in the selected currency. Transfers are excluded from income and expense, opening balances and adjustments are separate, and an unpaid occurrence remains a commitment rather than actual spending.

Do not mix currencies silently

Use accounts and reports in their actual currency. San Balance does not invent an exchange rate; choose one reporting currency or convert with a verified external rate before comparing totals.

Use calendars as reminders

Connect Google Calendar or another available calendar and sync future due dates. A calendar event is a reminder: deleting it does not delete the payment in San Balance, and deleting a payment may require separate calendar cleanup.

Export before important changes

Download CSV files for spreadsheets or a complete JSON export before reset, deletion or major edits. Exports are for safekeeping and review; the current app does not present them as a one-click restore button.
